Privacy Policy

1. Introduction

MintScribe LLC ("we," "our," or "us"), a Delaware corporation, respects your privacy and is committed to protecting the data of our users and organizations. This Privacy Policy details how we collect, use, store, and protect your information when you use our AI-powered transcription, diarization, and meeting collaboration platform.

2. Data We Collect & How We Handle It

A. Audio & Video Content

We collect audio recordings, video files, and browser microphone streams that you record or upload. These files are stored securely in isolated private Supabase storage buckets and are processed to generate transcripts, summaries, and meeting action items.

Biometric-like Data: Voice Prints & Embeddings

To provide our AI Voice Print Matching speaker diarization feature, we extract a 512-dimensional numerical vector (embedding signature) from short audio snippets. This mathematical signature is used solely to associate transcript segments with the correct team members in your workspace.

We do not store raw biometric profiles, and we never share or use these signatures for third-party tracking or identification outside of your explicit workspace settings. Users can disable voice signature collection at any time under Settings.

B. Calendar Integrations & OAuth Credentials

If you connect your Google Calendar or Microsoft Outlook accounts, we request authorization (via OAuth 2.0) to read calendar events and attendee lists. We encrypt all access and refresh tokens using AES-256 before saving them. This data is read solely to map meeting invitees to active transcript speakers and auto-title notes.

C. Third-Party Imports (YouTube)

Upon request, you can import video transcripts using YouTube links. We import only the public subtitles or transcript details for processing, and do not collect any personal profile information from your YouTube or Google account during this action.

3. How We Use Your Data & Our Zero-Training Guarantee

We process your data strictly to deliver the core service, including:

  • Generating accurate speaker diarization maps and text transcripts via transcription providers.
  • Compiling meeting notes, outlines, action items, and providing interactive chat-with-transcript capabilities.
  • Processing subscription licensing and seat allocations via Stripe.
  • Dispatching secure onboarding links, password resets, and notifications.

The MintScribe Zero-Training Guarantee

We never use your raw audio files, uploaded videos, transcripts, or AI summaries to train our internal models or third-party algorithms. All API data sent to our AI processors (such as OpenAI, Deepgram, and AssemblyAI) is governed by strict developer terms that exclude data retention and training by default.

4. Infrastructure & Subprocessors

We partner with top-tier hosting and analytics systems to run MintScribe. Below is the map of our subprocessors:

Supabase Inc.

Database, User Authentication, and file storage hosting.

AI Subprocessors

OpenAI, Deepgram, AssemblyAI, and Replicate for transcription and embeddings.

Stripe Inc.

PCI-compliant subscription and payment card processing.

Resend Inc.

Transactional system notifications and email dispatching.

Telemetry & Logging

Sentry, Axiom, and LogRocket for crash diagnostics, log drains, and session replay debugging.

Network Edge

Cloudflare for SSL network handshakes, DDoS protection, and DNS.

5. Retention Policies & Deletion Rights

You own your data. You can delete entire session records or terminate your account at any time. When deleted, files are purged from active DB tables immediately.

Additionally, you can configure custom Auto-Deletion Retention Policies under Settings (e.g. immediately, 7 days, 30 days, 90 days, or never). Our automated background cron job sweeps and purges expired recordings from storage according to your policy, helping organizations control their storage footprint.
